How to customise emails to customers?

**IMPORTANT**
It is currently not possible to customize emails when you choose New event design option in event's Settings.


The order confirmation emails are the perfect places to send out information about your event - parking, directions, networking party and much more! There are two emails that can be customized

  1. Order confirmation - sent to the person ordering the tickets
  2. Ticket assignment - sent to individuals that have been assigned tickets

Both of these can be customized allowing you to include any special instructions, such as:

  • directions to the event
  • bank transfer details (if any)
  • ID requirements
  • event terms and conditions
  • specific event preparation advice - hashtags, networking etc
  • refund policy

Additionally, you can use any of the merge fields (listed later in this article) to personalize the email.

Customizing these emails is quite easy, firstly head to:

 Event >> Settings >> Texts & Labels

Scrolling down the screen you will find Email Order Text and Email Tickets Text:

Tap on Customize Texts.

Important - Requirements - Required fields:

There are 2 merge fields in each email which must be included and these are detailed below:

Email Order

This email is sent when a customer completes a ticket purchase. The Order Email must contain the following merge tags exactly as they are listed: (compulsory tags)

  • EVENT_NAME
  • ORDER_URL

There are two optional fields:

  • FULL_NAME
  • ORDER_ID
  • EVENT_NAME - Full Event Name
  • FULL_NAME - Orderer's Full Name
  • ORDER_URL - URL of the order to get back to it
  • ORDER_ID - ID of Order
  • ORDER_PRICE - Price without VAT
  • ORDER_TOTAL_PRICE - Price with VAT
  • ORDER_VAT_RATE - VAT rate with % symbol
  • ORDER_VAT_TAX - VAT value of order
  • ORDER_CURRENCY - Currency

If both compulsory merge tags are not included you will not be able to save any changes you make to the emails.

The tags are pasted where you want the information to be placed, for example if you wanted to confirm the order price of $100 to the customer in the confirmation email you would edit the email:

"This email confirms the purchase of tickets for $ORDER_PRICE."

And the customer would receive:

"This email confirms the purchase of tickets for $100."

Pro tip: Test your order emails before making the event live!

Email Tickets

The Email Tickets is sent when an attendee is assigned tickets by the person who placed the order. The Tickets Email must contain the following merge tags exactly as they are listed:

  • EVENT_NAME
  • TICKETS_URL

There are two optional fields:

  • FULL_NAME
  • ATTENDEE_ID

If both compulsory tags are not included you will not be able to save any changes you make to the emails.

Email Limits

The custom emails must be between 40 and 999 characters in length.
